Overseas Approval and Pre-Departure Checklist

Requirements for Work Abroad

Use the linked institutional guidance for current instructions. Confirm your individual requirements with Study Abroad and Risk Management.

When do USU travel requirements apply?

International internships for USU credit and other university-related travel fall under Policy 5303. Noncredit experiences may also qualify when university-organized, funded, or sanctioned. Ask USU to clarify your situation.

Complete Required Travel Steps

For international university-related travel, obtain travel approval, complete the required pre-departure orientation, register travel, and participate in USU’s travel assistance and insurance program or an ITOC-approved equivalent.

Follow USU’s international travel guidelines for Travel Authorization, International SOS registration, export-control review, and Learn Blue orientation. Confirm how your student program coordinates these steps.

Check Destination Restrictions

USU assigns its own travel risk levels. Students may not travel to destinations rated High or Restricted by USU. Medium-risk destinations may require a safety and risk mitigation plan. Review Risk Management’s current destination guidance; a provider’s willingness to place you is not USU travel approval.

Confirm Passports and Activity Authorization

Consult USU’s passport and visa resources and the destination’s official immigration guidance. Ask about the authorization required for your specific duties, duration, and citizenship. Do not assume an unpaid internship or a provider arrangement permits entry as a tourist.

Plan Health, Access, and Emergency Support

Review program health and insurance information with Study Abroad. Discuss accommodations early with USU’s Disability Resource Center and the program. Confirm coverage, exclusions, and assistance procedures with Risk Management.

Before departure, save local emergency numbers, host and program contacts, and International SOS assistance information. For immediate danger, contact local emergency services; use International SOS for medical or security assistance and follow your program’s reporting procedures.

Stay Connected While Abroad

Keep your itinerary and contact information current in the travel registry. Follow USU policies and local laws. Agree on regular check-ins with your supervisor and USU academic contact; raise workplace or learning concerns promptly.
