When to Start: Suggested Overseas Planning Timeline
An overseas internship takes advance preparation. Start the conversation with USU Study Abroad in the Office of Global Engagement before committing to a placement, paying a deposit, or arranging travel.
A Planning Guide, Not an Official Deadline
Use the suggested windows below to work backward from your intended departure. Your USU, host, scholarship, passport, and visa deadlines may be earlier. Ask Study Abroad to confirm the process and timeline for your particular internship, including independently arranged placements. Starting early does not guarantee approval.
Suggested 9-12 Months Ahead
Explore and Meet Your Advisors
- Identify career goals, possible destinations, and the semester or summer that fits your degree plan.
- Meet Study Abroad and your department’s internship advisor. Ask which application and institutional review route applies.
- Compare program costs and funding eligibility. Check passport needs and note early scholarship deadlines.
Suggested 6-9 Months Ahead
Build Your Application Plan
- Shortlist programs or hosts; confirm eligibility, duties, supervision, and placement timing.
- Prepare your résumé, references, and applications. Begin the USU process as directed by Study Abroad.
- Discuss credit and degree requirements; build a budget and apply for funding by each award’s deadline.
Suggested 3-6 Months Ahead
Complete Reviews and Logistics
- Track host acceptance, academic approval, and institutional travel review separately.
- Complete required documents by the deadlines your advisors provide. Confirm the credit route and registration steps.
- Confirm entry and work authorization requirements with appropriate official sources; allow processing time.
- Ask about housing, insurance, access needs, and payment or cancellation terms before making commitments.
Suggested 1-3 Months Ahead
Check Readiness Before Departure
- Verify required approvals are complete. Finish assigned orientation, travel registration, and coverage steps.
- Confirm course enrollment or transfer-credit paperwork, host details, emergency contacts, and advisor check-ins.
- Review travel guidance and save support information. Recheck requirements if the location, dates, or activities change.
Create Your Own Deadline Tracker
For each task, record the actual due date, the person or office responsible, what must happen first, and your next action. Keep host applications, USU review, academic credit, scholarships, passports or visas, and pre-departure requirements in one calendar. Set reminders and leave time for revisions.
Make Room for Planning in a Busy Semester
Reserve a weekly planning block and choose a few tasks to finish each week. Request references early and give recommenders the real deadline. Follow up when a task depends on another office; ask your advisor when to check back. During a virtual internship, also plan for time-zone differences, classes, and agreed working hours.
What if you are starting late?
Contact Study Abroad promptly with your intended dates and placement details. Ask whether the required review and preparation can be completed in time. If they cannot, discuss a later start or a domestic or virtual option with your advisors.
